Privacy Policy

1. Account information

Creating an account requires your name, email address, and a password. Your password is never stored in plain text — it's run through a one-way hash before it touches the database, so we can verify a login attempt but can't recover or view your actual password. We also record your account creation date and, on each login, the timestamp, IP address, and country your login came from.

2. Files you upload

Files you upload to a tool are processed on our server to produce the output you asked for (merged, converted, compressed, etc.) and are then deleted — either immediately once you download the result or start a new job, or automatically after about an hour if a job is abandoned. We don't read, review, or use the contents of your files for anything other than the specific operation you requested.

The two AI-powered tools (AI PDF Summary, AI Chat with PDF) are the one exception worth calling out specifically: the text extracted from your PDF is sent to Anthropic's Claude API to generate the summary or answer, since that processing happens on Anthropic's infrastructure rather than ours. That extracted text is deleted from our servers the same way any other job's files are. See Anthropic's privacy policy for how they handle data sent to their API.

3. Visitor & usage logs

We log basic request data for every page view — your IP address, a country derived from that IP (via the free ip-api.com lookup service), the subdomain and path requested, your browser's user-agent string, and a timestamp. If you're logged in, we also record which tools you use and when, tied to your account — this is what powers the admin dashboard's usage statistics and is not shared or sold to anyone outside ApexNova Tools.

4. Cookies

We use a single session cookie to keep you logged in across every tool subdomain. It's strictly functional — there's no advertising or cross-site tracking cookie on this site.

5. What we don't do

We don't run ads, sell your data, or share your files or account details with third parties for marketing purposes. The only outside services involved in processing your data are the geoIP lookup (ip-api.com, IP address only) and, for the two AI tools specifically, Anthropic's Claude API (extracted document text only).

6. Your rights

You can ask to see what account and log data we hold about you, correct it, or have your account and associated data deleted. Since we don't currently have a self-service option for this, contact us and we'll handle it directly.

7. Children's privacy

ApexNova Tools isn't directed at children, and we don't knowingly collect information from anyone under 13.

8. Changes to this policy

If what we collect or how we use it changes in a meaningful way, we'll update this page and the "last updated" date above.
